Program Summary

The Philadelphia Department of Public Health (PDPH) provides essential public health services to residents and visitors of Philadelphia. The Department’s Communications Team works with each division in the department to provide relevant information on health issues to the public, including and especially in response to the COVID-19 coronavirus pandemic. This position will, until further notice, work remotely.

Position Summary

As Consumer Service Associate, will coordinate food bank services with Case Manager, Fiscal Team, and Administrator. Duties for this position are in accordance with the policies and guidelines of the AIDS Activities Coordinating Office (AACO). Food Bank services, which include but is not limited to: engaging with HIV/AIDS Consumers, Vendors, Staff from other service organizations, processing confidential Consumer documents, outreach, ordering food , maintaining food inventory and it’s storage areas.

 

Reports To: Human Services Administrator
Hours: Tuesday and Friday 9:00 am to 4:30 pm (Note: Subject to change due to company needs such as weekend events for special events and programming during the year)

Key Duties & Responsibilities:

  • Maintain and organize Consumer referrals, intake forms and master files in compliance with Ryan White guidelines and specifications as outlined by the AIDS Activities Coordinating Office (AACO).
  • Distribute food to Consumers in field and office setting. Ensuring documents to receive service is current and compliant according to funding and government requirements.
  • Communicate with community organizations to obtain Ryan White certified documents for referred Consumers, promote participation for ODAAT food bank events/updates.
  • Assemble food items for distribution according to ODAAT set volume parameters.
  • Adhere to guidelines of maintaining inventory and storage areas.
  • Comply with Government guidelines and expectation for food servicing.
  • Follow the guidelines and set budgets when ordering food items for inventory. Communicating with the Fiscal team to ensure proper invoicing and payments to vendors.
  • Coordinate, receive, and obtain deliveries and donations. Organize and stow inventory / food items. Process bulk food items for distribution.
  • Enter service units into a database in an accurate and timely manner as outlined by ODAAT protocol and procedures. Track Consumer participation & complete reports. Respond to Food Bank inquiries from internal and external colleagues.
  • Obtain and share resources of additional supportive services for Consumers. Plan and execute special Food Bank events.
  • Attend/complete mandatory ODAAT, UAC, Philabundance, and AACO meeting, trainings and in-service events, based on a pre-authorized schedule from supervisor.
  • Other agency related duties as required or assigned

Education, Knowledge, Skills & Abilities:

  • High School Diploma required; Associates degree preferred
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, etc.)
  • Excellent verbal and written communication skills
  • Must be able to prioritize and meet deadlines
  • Able to develop rapport, provide information, and refer with sensitivity to cultural issues
  • Display a high level of initiative, effort and commitment towards completing assignments efficiently
  • Possess excellent time management skills and the ability to work with minimum supervision
  • Knowledge of and sensitivity to the life experiences and needs of vulnerable populations
  • Demonstrated ability to work cooperatively within a team
  • Clear understanding of and commitment to supporting diverse communities and cultures.
